The Nature Sessions – Terms and Conditions
We are Hope Street Media Limited, a limited company incorporated and registered in England and Wales with company number 8530510 whose registered office is at 75 Maygrove Road, London, NW6 2EG, United Kingdom trading as The Nature Sessions.
By booking a retreat with The Nature Sessions at the Elmley National Nature Reserve (“Elmley NNR”), you are confirming that you have read and agree to abide by these Booking Terms and Conditions. Please review the FAQs page on our website or contact us via email at email@example.com with any queries or clarifications prior to completing your booking.
In the Booking Terms and Conditions set out below, "you" and "your" refers to all persons named on the booking, which includes any individual(s) subsequently added or substituted at a later date. "We", "us" and "our" all refer to The Nature Sessions.
Please print and retain a copy of these Booking Terms and Conditions for your records as they may occasionally be updated.
Making A Booking
The retreats are subject to availability, and we reserve the right to withdraw, amend or cancel the retreats at any time at our absolute discretion.
By making a booking you are confirming that you are authorised to do so on behalf of all persons named in the booking and you are acknowledging that all members of your party agree to be bound by these Booking Terms and Conditions.
When your booking has been made a confirmation will be sent to you by email using the email address that you have supplied. You should retain a copy of this confirmation for your reference.
You should carefully check the details of your confirmation as soon as you receive it. You must contact The Nature Sessions immediately if any of the details are incorrect or incomplete. We will always endeavour to rectify any inaccuracies or accommodate any alterations you wish to make to your booking. We cannot accept liability for any inaccuracies that are not brought to our attention within seven (7) days of issuing your confirmation, nor can we accept responsibility for inaccurate information that you have supplied.
If you have had any major physical or emotional illness within the past five (5) years, or are under medical or psychiatric supervision, you must notify us of the details at the time of booking and, where appropriate, enclose a doctor's certificate of fitness to take part. Persons attending The Nature Sessions retreats do so at their own risk. We will not be held liable for any injuries that may occur as a result of any treatment or activity that you undertake whilst on the retreat, and it is your responsibility to inform the practitioner of any treatment or activity you undertake of any health concerns. If you are in doubt of your suitability to participate in the retreat, please contact The Nature Sessions. Non-disclosure of relevant information can invalidate your insurance, and we will not be held liable for any injuries that may occur as a result of your non-disclosure.
All additional or special requests are subject to availability and we cannot guarantee the provision for special requests. Any additional requests made should be prior to your arrival, giving reasonable advance notice.
Booking for retreats may be paid for via two methods:
1. Payment in full at the time of booking via a single electronic bank transfer; or
2. Payment in instalments via the Payment Plan option set out on our website, namely:
a. Payment at the time of booking of a non-refundable deposit in the amount of twenty percent (20%) of the total retreat cost via a single electronic bank transfer;
b. Payment of equal monthly instalments via electronic bank transfer, the amounts and dates of each payment to be advised by The Nature Sessions at the time of booking.
If you do not make payments as agreed or as required for any reason, we may at our absolute discretion forfeit any deposit and cancel your retreat booking.
Cancellations by you
You must contact The Nature Sessions on the details provided in your booking confirmation to cancel or amend your booking.
Whilst we understand that plans can change, should you wish to cancel your retreat we will incur a cost. In these circumstances, any deposit paid will be non-refundable, and in addition the following charges must be applied:
For cancellations made within 28 days of the commencement of the retreat – you will be charged 100% of the cost of the retreat;
For cancellations made 29 - 42 days prior to the commencement of the retreat – you will be charged 75 % of the cost of the retreat;
For cancellations made 43 - 100 days prior to the commencement of the retreat – you will be charged 50% of cost of the retreat;
For cancellations made more than 100 days prior to the commencement of the retreat – you will not be charged, however your deposit is non refundable.
Cancellation of your retreat must be made in writing to The Nature Sessions via email at firstname.lastname@example.org.
Cancellations and changes made by The Nature Sessions
In the unlikely event that we are unable to accommodate a confirmed reservation it may be necessary to offer an alternative of an equal or a superior standard. If at any time we need to make changes that will significantly affect your stay or we need to cancel your stay, we will tell you as soon as possible, offering a suitable alternative or a refund. This does not apply to minor changes or events during your stay, resulting from unusual or unforeseeable circumstances beyond our control.
We cannot be held responsible for cancelling your booking as a result of your failure to comply with any requirement of our Booking Terms and Conditions, and we cannot be held liable for any expenses, costs or losses incurred by you as a result of any change or cancellation.
Curtailment of retreat for unacceptable behaviour
If a guest or a member of your party behaves in a way that causes or is likely to cause danger, upset or distress to a third party or to Elmley NNR, the wildlife or guest property, we are entitled, at our absolute discretion and without prior notice, to curtail the stay and request that the person(s) concerned leave the retreat and Elmley NNR immediately.
No refunds or return travel arrangements will be made and we will not pay any expenses or costs incurred as a result of such a curtailment.
By making a booking you are accepting responsibility for any damage or loss caused by yourself or a member of your party. Full payment for any such damage or loss must be paid to The Nature Sessions. If you fail to do so, you will be responsible for meeting any claims subsequently made (together with our own and the other party's full legal costs) as a result of your actions.
Third party suppliers
Elements of your retreat may include services supplied by third parties (for example massages and other therapeutic treatments). Such third party suppliers will usually have their own set of Terms and Conditions relating to the services they provide. You should consult the Terms and Conditions of any third party either before or soon after making a booking if your retreat includes such items.
In reference to massage treatments, there is a 50% charge for any cancellations within 48 hours of the commencement of the booked treatment.
Travel to and from Elmley NNR
All travel arrangements for you and your party to and from Elmley NNR are your responsibility. Such arrangements are made entirely at your own cost, and you should ensure the availability of such arrangements at the time of booking your retreat.
We will not be held liable for any costs incurred as a result of delayed or cancelled travel arrangements.
It is your responsibility to ensure that any insurance cover you have provides adequate cover for your needs and for the duration of your stay. We recommend taking out travel insurance to cover your stay.
Our liability to you
Nothing in these Booking Terms and Conditions will limit or exclude our liability for:
a) death or personal injury caused by our negligence or the negligence of our employees, agents or contractors;
b) fraud or fraudulent misrepresentation; or
c) any other liability which cannot be limited or excluded by law.
We cannot accept responsibility for unforeseen circumstances beyond our control. These include, but are not limited to, adverse weather conditions, fire, riot or threat of riot, war or threat of war, terrorist activity or threat of terrorist activity, industrial dispute, natural disaster, or injuries and death of an individual(s) through accidental circumstances unconnected with Elmley NNR or The Nature Sessions.
We accept liability for, and totally restricted to, services booked via The Nature Sessions website, in accordance with these Booking Terms and Conditions current at the time of booking. We cannot accept any other form of liability.
You agree to release, indemnify and hold harmless The Nature Sessions, its employees, agents and contractors and each of their respective successors and assigns, from any and all liability, claims, actions, costs, expenses or damages to the fullest extent permitted by law arising from or otherwise related to your booking of or attendance at a retreat.
We hope that you are fully satisfied with your experience with the Nature Sessions. Please note, complaints received after 14 days from the end of your holiday cannot be reliably investigated.
Any refusals to abide or follow this document may result in a cancellation of your booking and loss of your deposit and/or total fee. Reckless or intentional disturbance of protected wildlife is also against the law.
The Nature Sessions reserves the right to change information on our website relating to retreats, including prices, and terms and conditions, without notice. We also reserve the right to refuse entry to the site, cancel bookings, or instruct people to leave the Reserve, for any reason (for example due to inappropriate behaviour, dangerous weather or site conditions).
Code of Conduct at Elmley NNR
The site, Elmley NNR, is an internationally important site for wildlife, particularly breeding birds in spring and winter, and as such guests must be aware of the need to be considerate of the site and potential impacts upon it when staying.
The following conditions of use are agreed upon booking. Contravention of these conditions may result in a damage fee or immediate cancellation of your stay.
· No dogs are permitted on site.
· Access to the accommodation is only permitted by the marked routes – you will be shown these on arrival.
· Visitors must remain on marked footpaths and nature trails, and must not access other areas, stray off these routes or cross closed gateways.
· Visitors must remain in the marked area around huts and on the path and must not proceed further towards the water bodies.
· Any activity near the water bodies is strictly forbidden, this includes music, lights, BBQ and other general presence.
· Only those facilities provided may be used. Specifically guests may not provide or make their own BBQs, fires, table and chairs, picnic areas or play games outside of the permitted area.
· Only the lighting and torches provided may be used at the site of the shepherd huts.
· No audio players are permitted outside of the huts.
Usage of the site
Elmley NNR has a range of potential hazards including deep water, uneven surfaces and farm machinery operating in the area. By staying at Elmley NNR you are acknowledging these Terms and Conditions and you are aware, and accept, the risks, hazards, and dangers of personal injury in entering Elmley NNR. Elmley NNR may also contain naturally occurring flora and fauna which are harmful or poisonous.
Parents must not allow children to be unattended on Elmley NNR at any time. The care and safety of your children is your sole and full responsibility for the duration of your time at Elmley NNR. You agree to be responsible for your children and any children you are in charge of, and your own welfare and to take all reasonable precautions against personal injury, injury to others and damage to the site and facilities. The site has numerous water bodies which are deep and contain soft mud and may prove hazardous to children.
Guests and visitors agree to be considerate tenants and to take good care of the accommodation and facilities during their stay. Guests and visitors agree not to act in any way which would cause disturbance to other guests or the residents.
Should any facilities, equipment, or items in the inventory, be damaged willfully, as a result of inappropriate usage or behaviour, or a as a direct result of failing to respond to instructions from Elmley NNR staff, you will be held responsible for the cost of repair or replacement of that item. You must follow all instructions provided, either by Elmley NNR staff or the product manufacturer, at all times. You use the facilities and amenities at Elmley NNR at your own risk (for example, the BBQ), and Elmley NNR accepts no responsibility from any loss or injury arising from use of the shepherds huts, barn or wider Reserve.
Anything you bring to Elmley NNR, and any damage or loss to your possessions, is at your own risk.
The shepherd’s huts are insulated and have heating but British weather can mean dramatic variance in weather in a short period of time (“4 seasons in one day”). Whilst we supply certain facilities and equipment, there remains a requirement to perform some activities (for example, washing up) outdoors. You are responsible for your own well-being and comfort regarding appropriate clothing and footwear, etc. Be aware the bell tents are cotton canvas and in prolonged and heavy rain the tents may leak.
In extreme or unusual weather conditions at the Elmley NNR, such as exceptional cold and snow, where existing and / or forecast, we do our best to warn guests and give guests the option to move dates (subject to availability) without being subject to the cancellation policy charges, or loss of any monies. However, we will not be held liable for any expenses or costs incurred by you as a result of extreme or unusual weather conditions.
Please be aware the site is open to the public between daily (except on Tuesdays). Overnight guests are responsible for securing any valuables in their possession. A safe, or similar facility, is not provided.

These Booking Terms and Conditions, their subject matter and their formation, are governed by English law, and you accept and agree that the courts of England and Wales will have exclusive jurisdiction.
